Importing on New SPOTIO SPOTIO wants to make uploading batches of leads easy and convenient. That’s why we provide a downloadable template you can easily add lead information to and then simply upload the document to import your leads. What’s Covered in this Article: How to download the importing template Importing Limits How to complete the template How to upload the template and view leads How to view your leads How to Download the TemplateStep 1:Login to the SPOTIO web app on Google Chrome and click on the gear icon in the bottom left hand corner. Step 2: Select IMPORT at the top of the page and your details about plan and charges will show below. Step 3: This will take you to the importing page and you are able to download the template. Click on the DOWNLOAD TEMPLATE. Step 3: You will see the download appear in the bottom left hand side of your browser: Before you begin working on your import, please read about the limitations and special instructions to provide a seamless and hassle-free import. Importing Limits Our importing template is designed to make the importing process quick and painless. However, to ensure your experience is a great one please be sure to review the following items before you begin your import. The template is a .CSV (comma-separated values) document. For the best experience importing, we highly recommend opening this file in Excel and NOT Google Sheets or Numbers. Do NOT alter or change the headers of the template. In order for the template to work correctly, all headers must remain the same. No columns should ever be deleted or moved. It is okay to leave columns that are not applicable to your company blank. Remember that the fields you’ve created will show up in the header of the template. If you’re unsure about an item in the header be sure that it is not a field you created. Uploads are limited 1,000 leads per day. Please plan accordingly with your template. Additionally, please see uploading limits based on your SPOTIO Plan. See the chart below on our special characters guidelines Special Characters Accepted @ Un-Accepted Apostrophes, commas, How to Complete the Import Template Once you’ve downloaded the import template you’re ready to start editing it with the leads you would like to upload. Step 1:Selecting the arrow on the download notification and open the file. Once the document is open, ensure that if there is an ENABLE EDITING button at the top of your document that you click it to be able to enter in information. Step 2: Once the document is open you can begin entering your info. How to Upload the TemplateOnce you’ve filled out your template you are now ready to upload the import template. Step 1: Locate your saved template file and drag and drop it into the box that reads DRAG AND DROP FILE HERE or Click to Browse and locate the file on your computer. Step 2: Once you have added your file, you can choose the Override Leads Info box to override any information already existing in your system. If you do not want to override any information in the system and would simply like to add your leads select the yellow START IMPORT button.Your upload will not start until you click on the START IMPORT button. Step 3: It’s important to note that you have to be patient when importing the data. The more data you upload the more time it takes to complete. See the Import History to see the status of the upload or any errors. Import History Status Error Type Troubleshooting / Meaning Error Check for: Unaccepted special characters Modifications made to the header of the template Uploading more than 1,000 leads per batch Waiting Check for: Make sure to click the Start Import Button In Progress Be patient as the file is being uploaded. The larger the file the longer it may take to upload Imported This indicates that your file was successfully uploaded. Duplicate This indicates that there duplicates of information occuring in the system. Step 4: Now that you’ve successfully uploaded your template, you can now view the imported leads in the web app. Login to the SPOTIO web app on Google Chrome and click on the Pipeline icon on the left hand side of the screen. [a]Step 5: Select the list view at the top of the screen and click on the small gear icon at the top left of this view. You are able to select several different types of information to view in list mode. To see the leads you’ve just imported make sure to toggle on the SOURCE button.Step 6: You can now see which leads were imported, done via web, or on a mobile device. If your data is in this format (has a comma) you can use the instructions below to remove the commas and split the data into separate columns. Highlight the column that contains your list. Go to Data > Text to Columns. Choose Delimited. Click Next. Choose Comma. Click Next. Choose General or Text, whichever you prefer. Leave Destination as is, or choose another column. Click Finish. The comma will be removed and the data will appear in separate columns. [a]do we want to mention the browser here? or just say go to the site?
